1. Scope & Delivery Method
ViRFQ provides online services — the ViRFQ Platform and online courses. We do not ship physical goods and no shipping fee ever applies. For ViRFQ, "delivery" means activating your entitlements on your account, or sending you a class schedule and the online class link.
2. Platform Plan Delivery
Bank transfer / VietQR with the correct payment code, the correct amount and within the 30-minute validity window: the plan is activated automatically as soon as the payment is received, usually within a few minutes. Stripe card payments: the plan is activated as soon as Stripe confirms a successful payment; if it has not happened within 30 minutes, contact us (see the Payment Policy, section 2.2).
If your transfer arrives after the code expired, with the wrong amount, the wrong content, or using an old QR, the payment is still recorded. Contact us with your payment code and a receipt; we reconcile manually within 1 business day and either activate your plan or refund the transfer (see the process in section 9).
A confirmation email is sent to your account email once your plan is activated. To check what you received: log in to virfq.com → your dashboard, where your plan and entitlements are shown.
Validity is counted from the activation date: 3, 8 or 16 months depending on the term you bought. If you buy another term while the current one is still active, the new term is appended to your current expiry date.
Items that require ViRFQ's active involvement — such as bilingual company-profile editing or help setting up a WhatsApp advertising campaign — are carried out after you provide the necessary information, on a schedule agreed between us; we do not commit to a fixed number of days for these.
3. Course Delivery
- You request a consultation ("Đăng ký tư vấn") on the Academy page — no online payment at this step.
- ViRFQ calls you to advise and confirms the course start date.
- You transfer the tuition fee (see the Payment Policy).
- Within 1 business day, ViRFQ confirms your enrollment and sends the class schedule and the online class link, by email/phone, before session 1.
- The course runs 5 online sessions, 2.5 hours each; materials and templates are shared by email or in the class group.
- 14-day Platform trial: if you register your own Exporter account, ViRFQ activates a 14-day trial of the Platform plan on your course start day; the 14 days run from activation. To be eligible, the account must be an owner Exporter account (not a staff account, not an admin account), active, and without an active paid plan. If you already have an active paid plan, you already have its full entitlements and the 14 days are not added on top. If you only have a staff account, ViRFQ grants the trial to your company's owner account instead. The trial has no cash value.
4. Checking What You Receive
After activation, please check your plan and entitlements, and for the course, your schedule and class link. If anything is wrong or missing, let us know within 7 days via our hotline, email, or the Complaint Handling page. If a VietQR payment is not activated within 30 minutes, contact us with your payment code and check your spam folder for the confirmation email.
5. Cancelling Before Payment
A payment order you never paid does not cost you anything — you can simply let it expire. A course consultation request can be cancelled at any time, free of charge.
6. Platform Plan Refunds
6.1. General policy
- Term not yet activated: a paid term that has not been activated is refundable in full on request.
- Term already activated: refunds are pro-rated by whole unused months of the term (bonus months carry no monetary value and are not refunded). A month already started counts as used.
6.2. Eligible refund cases
- Duplicate payment: you were charged more than once for the same subscription.
- Technical error: a technical error on our side prevents you from accessing paid features for more than 7 consecutive days.
- Unauthorized transaction: your payment method was used without your permission (requires investigation).
6.3. Non-refundable cases
- Dissatisfaction with RFQ quality (RFQ content comes from third parties).
- An account suspended for violating the Terms of Use.
- Days/months already started within the current term (pro-rata counts whole unused months only).
- RFQ unlocks already used during the current term.
- Ad spend already delivered to advertising platforms, and budgets you pay directly to Meta.
6.4. Nothing to cancel
Because the Platform plan is prepaid and never auto-renews, there is nothing to cancel and no risk of a surprise charge. When your term ends, your account simply reverts to the Free plan.
7. Course Tuition Refunds
- Cancel at least 3 days before session 1 → 100% refund.
- Cancel within 3 days of session 1, or after the course has started → no refund; you may defer once to a later course, within 6 months of your original registered start date.
- If ViRFQ postpones or cancels the class, you choose between a 100% refund or transferring to another course.
- The 14-day Platform trial (section 3) has no cash value and is not part of any refund.
8. Legacy Ad Wallet (topped up before 22/08/2026)
ViRFQ stopped accepting ad-wallet top-ups on 22/08/2026. For wallets topped up before that date: any unspent balance is refundable on request (the fees and VAT charged on the refunded portion are recalculated accordingly); amounts already spent on advertising platforms are not refundable. Ad budgets you pay directly to Meta are outside ViRFQ's refund scope.
9. Refund/Cancellation Request Process
- Email contact@virfq.com from your registered address, or call our hotline.
- Include your account email, payment/transaction code, the reason for your request, and (for a bank refund) the account to receive the money.
- We review your request within 5 business days.
- If approved, the refund is sent to your original payment method or bank account within 10 business days.
Duplicate-payment and unauthorized-transaction claims must be sent within 7 days of the transaction date.
